General Information

During the 2010 AETC Base Civil Engineering (CE) Conference the San Antonio Post will co-host the annual Icebreaker event on Monday evening, Nov 29, at the Randolph Air Force Base (AFB) Parr O’Club (Officers’ Club).

Companies, organizations and indiiduals can participate as a sponsor of the Icebreaker. There are forty (40) sponsorships available.

NOTE: There will be a separate companion luncheon event on Tuesday, Nov 30, which will be open to the Post members.  The joint luncheon is a separate event and is NOT linked with this Icebreaker. Reservations for that event are at http://101130sapost.eventbrite.com.

Sponsors will have a display table at the event and meet with the "best of the best" in the military engineering discipline attending the AETC Conference.

Proceeds from the event will go to support future Post young member activities.

Schedule

The Icebreaker schedule is as follows:

·         Icebreaker Sponsor Table Setup, Nov 29, 4:00 pm to 6:00 pm - Randolph AFB Parr O’Club (Officers' Club)

·         Icebreaker Event, Monday, Nov 29, 6:00 to 9:00 pm - Randolph AFB Parr O’Club (Officers' Club) 

Sponsorships

The sponsorship is $225 and includes:

·         One (1) display table for the sponsor (see restrictions on exhibits below)

·         Access to the event for up to three (3) representatives

·         Special Greek style heavy hors d'oeuvres including such items as salad, chicken wings, baby lamb chops w/tzatziki sauce, roasted potatoes w/oregano & feta cheese, grilled vegetables, grilled pita wedges and baklava/spanakopita

·         Two (2) drink tickets for each of the three (3) representatives

·         Cash bar which will be available for your continued enjoyment throughout the evening.

Since this event is organized for our young members, we are encouraging companies/organizations to select one of their young members (35 years old or younger) as one of their three (3) representatives at the Icebreaker.

Only forty (40) sponsorships are available!

Sponsor Tables

Each sponsor will have a six (6) foot table for their organization/company display at the Icebreaker. No upright or wall-mounted display will be allowed!

Only marketing materials, brochures, promotional items, etc. are permitted for the display tables. You can use your own table covers/draping with their organization/company logo if desired. "Small" brochure holders can be used on the table as long as they do not block the view of other table displays.

Sponsors will draw a number for their table assignments/locations when checking in on Monday, Nov 29. As noted above, setup for sponsored tables starts at 4:00 pm.

Payment

This is "pay in advance" event. You pay by credit card when you register OR you can pay by check by selecting "show other payment options" link below the "Order Now" button to register.

All check payments must be received by Monday, Nov 15.

Cancellations/Changes

Sponsorship cancellations will only be accepted until Monday, Nov 15. After Nov 15, all sponsorship purchases are final.

If you cancel by the deadline, you will receive a full refund of your payment.

You can make changes to your organization/company representative(s) until Monday, Nov 15, 12 noon. We must have this information then to finalize our lists for Base Security before the event.

Cancellations/changes should be emailed to Post POC at webmaster@same-satx.org.

The Club is located at 500 Military Plz, Universal City, TX 78148-5442, on Randolph AFB, phone (210) 658-6462.

Randolph AFB Access

Base access requires a registered DOD identification card or inclusion on a visitors' list at the entrance gate. Visitors must enter through the Main Gate (accessed via Pat Booker Road).

We will provide the Base Security Forces a list of attendees that do not have the required DOD identification to assist them with access.

For those without DOD identification cards (ID), we will need (additional information to be provided with your registration for your reps):

·         date of birth (DOB)

·         address

·         driver’s license number and state of issue (or SSAN if no driver’s license is available)

·         vehicle make, model and license plate for the vehicle being used.

Dress

Dress will be business casual for the Icebreaker. The Conference attendees will also be in civilian business casual attire.
